How to Run an RFID Asset Audit: A Practical Checklist

October 27, 2026 · 2 min read

An asset audit confirms that what your register says you own is what you actually have, and where it is. Manual audits depend on people checking items one at a time. RFID lets a reader capture many tagged assets in one pass, so the work focuses on resolving differences instead of counting. Use this checklist.

1. Define the scope

Choose the sites, floors and asset groups to include, and decide who owns each area. Start with one location or one category, such as IT equipment, to prove the process.

2. Clean the register

Remove duplicates, retired items and unclear descriptions. Each asset needs a unique ID, a category and an owner or location.

3. Tag the assets

Attach tags suited to the surface: on-metal tags for equipment, labels for furniture and IT, rugged tags for outdoor items. Link each tag to its asset record when you tag it, so there is no manual matching later.

4. Scan by location

Walk each room or zone with a handheld reader. Scan zone by zone, and record the location at the start of each scan so every read is tied to a place.

5. Reconcile the results

Compare what was found with the register. You will have four groups: found in the right place, found in the wrong place, in the register but not found, and found but not in the register. Assign each difference to an owner and a deadline.

6. Keep it current

After the first audit, keep the register accurate with ongoing checks. Fixed readers at exits and regular spot scans catch moves and losses as they happen, rather than a year later.

7. Report and improve

Share results with finance and department heads. Use the findings to fix causes: unclear ownership, missing handover steps or unlocked storage.

The Organisational Asset Management solution supports each step, from tagging and scanning to reconciliation and reports. Integrations with ERP and finance systems keep the fixed asset register aligned.
