What is Tag'n'Track Facility Management?

Tag'n'Track Facility Management is software for managing the physical side of buildings and sites: rooms, building equipment, inspections and maintenance. NFC, QR and RFID checkpoints prove that inspections happened where and when they should, IoT sensors monitor conditions, and work orders follow automatically. It runs on the Tag'n'Track Platform.

The challenge

Unproven inspections

Paper checklists cannot show that an inspector actually visited each location.

Missed safety checks

Fire extinguishers, alarms and safety equipment fall out of date without anyone noticing.

Reactive maintenance

Building equipment is repaired after it fails instead of being serviced on time.

No single view

Rooms, equipment and contractors are managed in separate spreadsheets for each site.

How it works

Four steps from a tagged item to an automatic action.

Step 1

Tag

Rooms, checkpoints and building equipment receive NFC, QR or RFID tags; sensors are fitted where conditions matter.

Step 2

Capture

Technicians scan checkpoints with phones or handheld readers; sensors send readings automatically.

Step 3

Track

Inspection status, equipment condition and sensor values are visible for every building.

Step 4

Act

Failed checks, sensor alarms and due dates create work orders. FormsFlow (add-on) opens the right checklist on each scan.

Key features

Everything to run buildings and sites with confidence.

Buildings, floors and rooms

A structured register of sites, buildings, floors, rooms and spaces with their assets and contacts.

One view of every site.

Building equipment

HVAC units, pumps, lifts, generators and safety equipment with service history and documents.

Linked to each location.

Proven inspections

Inspectors scan an NFC or QR checkpoint to start a checklist, so every visit is time- and location-stamped.

No more paper rounds.

Planned maintenance

Schedule servicing by date or usage and send work orders to your team, contractors or CMMS.

Fewer breakdowns.

IoT monitoring

Temperature, humidity, door and usage sensors raise alerts when conditions go out of range.

Problems found early.

Contractor visits

Record contractor arrivals, the work done and sign-off at the asset, with photos.

Clear evidence of service.

What you gain

  • Inspections you can prove, with time and location for every visit.
  • Safety equipment kept in date, with alerts before checks are missed.
  • More planned and less reactive maintenance.
  • One view of every building, across all your sites.

Typical use cases

Typical scenarios to show how the solution is used. These are illustrations, not customer case studies.

Fire safety rounds

Each extinguisher and alarm point has an NFC tag. Monthly checks are scanned on site, and overdue items are flagged.

Server and storage rooms

Sensors watch temperature and humidity in critical rooms and alert the team before damage is done.

Cleaning and housekeeping

Cleaners scan room checkpoints to confirm each task, giving managers a live view of progress.

Multi-site property portfolio

A property team manages equipment, inspections and contractors across dozens of buildings from one system.

Integrations

Connect facility data to your systems through REST APIs and connectors. Multi-step workflows are available with the Process Automation add-on.

CMMS and CAFM

IBM Maximo, SAP PM and other systems: work orders with location and asset details.

ERP

Costs, contracts and suppliers linked to buildings and equipment.

Building management systems

Use BMS and sensor data to trigger inspections and maintenance.

Help desk

Turn occupant requests into tracked work orders.

BI and reporting

Dashboards for inspection compliance, maintenance and conditions.

REST APIs

Connect any in-house system through a single stable interface.

Hardware that fits your site, your process and your budget

Tag'n'Track works with RFID, NFC, QR codes, barcodes, IoT sensors and GPS from all leading manufacturers, so you are never tied to one brand. Every recommendation is based on your requirements, a site survey and your budget.

Typical choices: NFC and QR checkpoint tags, on-metal RFID tags for equipment, temperature, humidity and door sensors, gateways, phones and handheld readers.

Start simple, grow to full automation. Begin with handheld readers in one area, prove the value, then add fixed readers, gates and sensors step by step.

Frequently asked questions

Can we use phones instead of special readers?

Yes. NFC and QR checkpoints can be scanned with a smartphone. Handheld RFID readers are used where many items are counted at once.

Which sensors are supported?

Temperature, humidity, door, vibration, energy and usage sensors from leading manufacturers.

Does it replace our CMMS?

It can work alongside your CMMS, sending it verified inspections and work orders, or manage maintenance itself.

Can contractors use it?

Yes. Contractors can be given limited access to record arrivals, work done and sign-off.

Does it work across many sites?

Yes. Sites, buildings and rooms are managed in one system with views per site or region.

Do we need the mobile app?

No. Everything works in a web browser. For scanning checkpoints, offline work and alerts, we recommend the Mobile App add-on.
